How Livicode Tech Solutions Ltd collects, uses and protects personal information submitted through this website.

Working draft — not yet reviewed or approved. This page was written to accompany the site's enquiry forms so every consent checkbox has something real to link to. It has not had legal sign-off, and a couple of facts are marked TODO because only Livicode can confirm them (ICO registration number, and the actual email/CRM platform once one is connected). Please have a solicitor review this before it goes live, and resolve the TODO items first.

We haven't appointed a formal Data Protection Officer — a business of our size isn't required to under UK GDPR. info@livicode.com is the direct contact for any privacy question or request.

Information we collect

We only collect what you actively submit through a form on this site. There are three places you can do that:

  • The free WCAG checklist form (homepage) — your name and email address.
  • The consultation booking form (contact page) — the service you're interested in, your organisation type, which area you're nearest to, a description of your challenge, your name, work email, and (optionally) your organisation's name.
  • The free website audit pop-up (appears after you've spent some time on the site) — your full name, phone number, email address and website URL.

Every one of these forms includes a required consent checkbox — the form cannot be submitted until it's ticked. None of the boxes are pre-ticked for you.

Like most websites, our hosting will also generate standard server logs (IP address, browser type, pages requested, timestamps) purely to keep the site running securely. TODO — confirm log retention with our hosting provider.

Why we collect it, and our lawful basis

We ask for this information so we can respond to your enquiry, send you the resource you've asked for (the checklist or the audit), and — because you've ticked the consent box — follow up with you about it. We don't buy, sell or rent contact details, and we don't use anything you submit for automated decision-making or profiling.

Our lawful basis under UK GDPR Article 6 is your consent (Article 6(1)(a)), given via the checkbox at the point of submission. Where you've contacted us directly with a business enquiry, we also rely on our legitimate interest (Article 6(1)(f)) in being able to reply to you. You can withdraw consent at any time — see "Your rights" below.

Who we share it with

Directly with us, by email — nobody else. Submitting one of the three forms above sends its details straight to our own inbox (info@livicode.com). We don't currently use a separate CRM or marketing platform to store or process enquiries; if that changes, we'll name the provider here and link to their own privacy policy.

Separately from the forms, this website loads things directly from third-party servers, which means your browser contacts them and shares your IP address as a normal part of how the web works:

  • Google Fonts (fonts.googleapis.com / fonts.gstatic.com) — for the site's typefaces.
  • Unsplash (images.unsplash.com) — as a fallback source for a small number of photos, only if the version hosted on our own server fails to load.
  • Google reCAPTCHA (google.com/recaptcha) — runs invisibly on every page to help us tell real visitors from automated spam submissions. Google receives your IP address and some device/browser signals as part of this; it does not require you to solve a challenge. See Google's Privacy Policy for how Google itself handles that data.

We don't run any analytics or advertising scripts on this site.

Cookies and similar technology

We don't set any cookies of our own. This site uses your browser's built-in sessionStorage for one thing: remembering how long you've been browsing the site, so the free-audit pop-up can offer itself once around the one-minute mark and again around five minutes, instead of repeatedly. That information stays on your own device, is never sent to us or anyone else, and is automatically cleared when you close the browser tab.

If you submit the pop-up form once, we remember that too (in the same local storage) so it doesn't ask you again during that visit.

Google reCAPTCHA (see above) does set its own cookies, on google.com rather than this site, as part of how it distinguishes real visitors from bots.

How long we keep your information

Because the forms aren't connected to a live system yet, we don't currently store any submission anywhere. Once a real email/CRM platform is connected, we'll only keep enquiry details for as long as reasonably needed to respond to you and for a short period afterwards in case you follow up — and we'll state a specific retention period here before that happens, rather than leaving it open-ended.

Your rights

Under UK GDPR, you have the right to:

  • Ask what personal information we hold about you, and get a copy of it (right of access).
  • Ask us to correct anything inaccurate (right to rectification).
  • Ask us to delete it (right to erasure).
  • Ask us to restrict or stop processing it (right to restriction / object).
  • Receive it in a portable format (right to data portability).
  • Withdraw your consent at any time, just as easily as you gave it.

To use any of these rights, email info@livicode.com. If you're unhappy with how we've handled your information, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO) — though we'd appreciate the chance to put things right directly first.

Keeping your information secure, and other details

Security. We take reasonable technical and organisational steps to protect any information submitted to us. TODO — describe our actual hosting/security measures.

Children. This site is aimed at businesses, charities, schools and public-sector organisations, not children, and we don't knowingly collect information from anyone under 18.

Changes to this policy. We'll update this page if what we collect or how we use it changes, and update the "last updated" date at the top when we do.
